If you’re planning on having porta potties or luxury restroom trailers at your event, it’s a good idea to order them as far in advance as possible. However, you may be wondering how far in advance your restroom order should be placed.
You may also wonder if you can get your porta potties last minute, such as the day before or the day of your event. The following blog will help you decide exactly where in your event planning stage you should be getting your porta potties booked, and when is the latest possible time you can order your restrooms.
Now the time frames for ordering your porta potties depends on exactly how many you’re going to be ordering, and which types of portable restrooms you’ll need. Our recommendations are broken down into three categories
- Smaller Outdoor Events (1-20 portable restrooms)
- Large events (20+ portable restrooms)
- Luxury Restroom Trailers
Smaller Events (1-20 Portable Restrooms)
When Should I Order 1-20 Portable Restrooms?
Answer: Ideally 2 Weeks Prior to Your Event Date
If hosting an event where you’re going to be need fewer than 20 porta potties, usually two weeks prior to the event will be the best time to book. The VERY LATEST date you can order your restrooms without incurring any additional emergency delivery charges would be the Wednesday prior to your event weekend. We are usually able to fill all order request of this size closer to the event, but you will still be subject to availability. There is always the chance that a large event will be taking place on the same date as your event, so by booking your restrooms early you will be sure to get everything you require.
When is Payment Due For These Types of Events?
For events booking 1-20 portable restrooms, payment is due in full at the time of the contract signing. Your reservation won’t be solidified until we have the full payment for your event, so make sure that you’re ready to commit with full payment when signing your portable restroom contract.
Reasons for This Timeframe
Scheduling and manpower is one of the main reasons that we ask you schedule your restrooms at least two weeks prior to your event. We need to know the number of restrooms we need to deliver and where they’re going to so we can better schedule delivery and pickup with our drivers. Since portable restroom providers only have a finite number of service technicians and trucks, it takes a lot of planning to make sure everyone gets their rentals when they need them. This will help us provide you with the best and most timely service possible.
We would also like to guarantee that you could get all of the equipment that you desire for your event. All reservations are on a first come first serve basis, so if we sell out before you get your restrooms booked, we may not be able to accommodate you. To prevent last minute headaches, book your restrooms a few weeks in advance.
We would also like to take the time to work in any special circumstances that you may have. If you need your restrooms delivered or picked up over the weekend, or if you have a weekend service that you need, we’ll need to know that as far in advance as possible to work it into our driver’s schedule.
Larger Events (20+ Portable Restrooms)
When Should I Order 20+ Portable Restrooms?
Answer: Ideally At Least One Month Prior to Your Event Date
For large events where you think you’re going to need more than 20 portable restrooms, you should get your signed contract and payment in at least one month prior to your event.
Events of this size take a lot of planning. You should be speaking first with a special event sales representative to determine how many, and what types of restrooms you should be renting. If you’d like to estimate how many porta potties you’ll need for your event, you can use our porta potty calculator to get an idea of how many standard portable restrooms, enhanced access restrooms and hand washing stations you should rent. They will also get information from you such delivery date, and if you need any additional restroom services over the weekend.
Once you know how many porta potties you’ll need, you will get a detailed quote itemizing the costs for your restrooms, and any additional weekend deliveries or services that you may require. You’ll need to sign and return this contract with payment to secure your order. Now if you haven’t signed and returned this contract with payment less than one month before your event, you can still complete your order. Although, you won’t be guaranteed to receive your requested restrooms until this contract and payment are received.
When is Payment Due for These Types of Events?
Payment for these large events is due at the time the contract is signed and returned. All special events are on pre-payment terms, so restrooms won’t be delivered until payment is received.
Reasons for This Timeframe
For these large events, we usually have to bring several truckloads of restrooms out to the event space. There are usually special delivery and pickup times to comply with city regulations and permitting. Because of this, we need this extra time to schedule out our service technicians.
It also secures your reservation for all of the restrooms and hand washing stations that you’d like to rent. You never really know if there will be another large event on the same weekend, so it’s a good idea to get your equipment reserved as far ahead of time as possible.
Luxury Restroom Trailers
When Should Your Order My Luxury Restroom Trailer?
Answer: Ideally Three Months Prior to Your Event
If you’re interested in renting a luxury restroom trailer, you’ll want to have your reservation secured around three months prior to your event. In order to get your reservation secured, you’ll have to have a signed contract returned to us with your down payment.
Until we have these two things, another customer could still reserve the trailer that you want. You could still book your luxury restroom trailer the Wednesday prior to your event, but availability may be a problem. Ordering a bathroom trailer is still possible even closer to your event, but you may incur an additional emergency delivery charge.
When is Payment Due for Luxury Restroom Trailers?
Payment for luxury restroom trailers differs from our standard portable restrooms. In order to secure your reservation, you must put down 50% of the final balance for your rental at the time the signed contract is returned.
Until this 50% down payment is received, you will not have a confirmed reservation. The other 50% of the balance will be due four weeks prior to your event date. If you happen to order your restroom trailer less than four weeks prior to your event, the full balance for the reservation is due with the signed contract.
Reason for This Timeframe
The reason for our recommendation to order your luxury restroom trailer three months prior to your event is mostly an availability issue. Since luxury restroom trailers are a big-ticket item, we only have a limited stock of them in our fleet. In the spring, summer and fall months we sell out of restroom trailers a majority of weekends. So to ensure that you’re getting exactly the trailer that you want, it’s a good idea to book as early as possible.
As you can see from the booking recommendations above, renting your portable restrooms and luxury restroom trailers isn’t something that should be left until the last minute. While you could possibly rent your portable sanitation equipment a day or two before your event, scheduling your rentals in advance will help ensure that you get exactly what you want and don’t incur extra emergency delivery charges.
